Tourplan

This guide covers the Tourplan-specific parts of Rates Assistant. Follow the general workflow for upload, structure review, and pricing review.

The supplier must already exist in the connected Tourplan instance. Its room options and any standalone service options or embedded-extra slots you intend to use must also exist before publication. Rates Assistant does not create these records.

Enter the start of the Tourplan supplier code, such as PON, then choose Search. TravelDB validates the returned suppliers against the live Tourplan connection. Select every supplier represented by the sheet.

If a supplier does not appear, confirm that it exists in the connected Tourplan instance and search by the beginning of its code rather than only its name.

After you confirm structure, TravelDB starts extracting prices and opens a separate Tourplan bindings step. The pricing call continues in the background while you tell TravelDB where each room, charge, and service should publish.

  1. Confirm the read-only Tourplan supplier code selected at upload.
  2. Check every extracted room. Rooms without a destination remain visible as Not configured while TravelDB loads the live options and proposes exact room and board matches automatically.
  3. Check every proposed room and board combination against its Tourplan option. Use Add destination when a room needs another board basis or no proposal was suitable.
  4. Decide whether each charge or service is omitted, written to a standalone option, or embedded as an extra on one or more room options.
  5. Enter the Tourplan rate tariff / price code under Publishing defaults.
  6. Choose Save bindings.
  7. Finish the binding review. If price extraction has already finished, Continue to pricing review opens it immediately; otherwise TravelDB waits for the pricing draft without making you repeat any work.

Proposals are conveniences, not decisions. A similar option description or comment can still refer to the wrong room or board basis. Use Refresh Tourplan options after changing the catalogue in Tourplan. The tariff / price code does not affect option discovery.

Bindings are saved separately from the structure and pricing drafts. You can return from pricing review with Edit Tourplan bindings without rerunning price extraction.

Tourplan publication replaces rates one option and date window at a time. The preview reads the live option catalogue and current rates without writing anything.

Before previewing, confirm that:

  • Pricing corrections and Tourplan bindings are saved.
  • Every intended room and board combination has the correct option code.
  • Charges and services use the intended standalone-option or embedded-extra placement.
  • The tariff / price code is correct.

Select Land as provisional only when the rates should be written with Prov=P in Tourplan.

Choose Preview publish. For every proposed write, TravelDB shows the option and date window, the TravelDB season and source rate, the rates that will exist afterward, and any current windows that will be removed or truncated.

The report separates three kinds of issue:

  • Fix before publishing means the data is invalid and publication is blocked.
  • Rates without a confirmed destination means some extracted rates are unbound. Return to bindings, or explicitly acknowledge that those rates will be omitted.
  • Tourplan cannot receive describes information the destination cannot represent. Review it before deciding whether to proceed.

If you edit pricing or bindings after previewing, create a new preview. A preview belongs to the saved draft and destination that produced it.

Choose Write n windows to Tourplan only after checking the preview. TravelDB writes each window and reads it back to verify what landed.

Do not repeat the action blindly if publication is incomplete. The result identifies each window as written and verified, failed, not attempted, or outcome unknown. Use History to reopen previous runs and reconcile uncertain option/date windows in Tourplan before trying again.

If automatic discovery finds nothing useful, check the supplier code and confirm that products exist for that supplier. Choose Refresh Tourplan options after correcting the Tourplan catalogue. You can also add or correct a destination manually.

If the preview lists unbound rates, return to Tourplan bindings and add the destination or acknowledge that the rates should be omitted. Create missing room or service options in Tourplan before loading options again.
